Administrative Support Specialist

OneBook believes that people around the world will be forever changed by engaging with the Bible in the language of their heart. A member of Wycliffe Global Alliance, OneBook partners with national Bible translation organizations in Africa and Asia that facilitate locally led and staffed language projects. The OneBook model is built upon partnership with, and the empowerment and equipping of, local people, where possible, to carry out translation and literacy work in their own communities. This approach strives to preserve and honour the cultural and contextual aspects inherent within these indigenous language groups. OneBook advocates for these communities, inviting Canadians to be a part of introducing them to the life changing Word of God.

Currently, OneBook is engaged in ongoing projects serving 28 language communities in seven countries across Africa and Asia. Since inception in 2009, project teams have dedicated the New Testament or complete Bibles in 53 minority languages, with 13 more Bibles in the publishing phase.

OneBook is seeking an Administrative Support Specialist join our team. In this role, you will play a crucial part in providing comprehensive administrative support across the organization.


Position Summary:

The Administrative Support Specialist will play a pivotal part in ensuring smooth operations, contributing to the success of fundraising initiatives, and aiding in the growth and sustainability of OneBook’s organizational initiatives by offering administrative expertise and support to the Development and Operation teams. Preference for this role is to be in the Calgary anchor office at least one day per week.
 

Key Responsibilities:

Administration for Development Team:

  • Coordinate and attend weekly development team meetings, produce meeting notes and assist in follow-through.

  • Work with the Development Team on supporting TeamOne and Mid-Level Giving Programs.

  • Support the major gifts team in the cultivation, solicitation and stewardship of individual, foundation, corporate, and church donors.

  • Assist in coordinating and maintaining confidential donor information in DonorPerfect, including data entry, updating, pulling reports, uploads and maintaining donor hard files.

  • Assist in creation of and/or print marketing pieces for the major gifts team as requested. 

  • Assemble donor packages and compile materials for events and presentations.

  • Work with development team members to coordinate and write grant applications and proposals, letters of inquiry, reports, and other correspondence as requested.

  • Monitor follow-up needed, proposal deadlines and other interactions with major donors.

  • Assist with travel arrangements, if requested.

  • Coordinate events including small development events, the National Partner Tour, church presentations and other events.

  • Liaise with Marketing and Communications on communication pieces needed by the major gifts team.

  • Research potential grant opportunities from organizations that align with the mission and values of OneBook.


Administration for Operations Team:

  • Manage and coordinate office supplies, and marketing materials for staff home offices and the anchor office, ensuring staff and office are properly equipped and supplies are replenished as required.

  • Answer phone calls for general inquiries.

  • Provide back-up support for accounts receivable, retrieving mail, opening mail, taking donations on the phone, and entering gift information into DonorPerfect. 

  • Provide back-up support for Donor Relations coordinator in preparing acknowledgements for donors.

  • Assist in sending out annual tax receipts.

  • Assist in the coordination of staff retreats or other meeting logistics.

 

Collaboration

OneBook has a small staff, necessitating teamwork to accomplish goals. 

  • Since staff work remotely, regular online staff meetings are the platform for cross-fertilization of expertise and experience, team problem-solving, and united prayer. 

  • All staff come together during retreats where each contributes to team building, vision-casting and strategic planning. 

  • The Administrative Support Specialist will be available to carry out additional responsibilities that enhance OneBook overall performance as determined by the President.

  • A proactive and versatile individual with a go-getter attitude, who enjoys wearing multiple hats and handling diverse responsibilities based on organizational needs.

  •  Superior interpersonal and communications skills, in different formats (phone, email, Zoom and in person), with a positive attitude and patient understanding.

  • Ability and willingness to travel to events and staff retreats around Canada.

  • Ability to work independently, adjusting priorities based on the team, and meeting deadlines.

  • Attention to detail, and well organized.


Knowledge & Experience: 

  • Post-secondary degree or diploma in administration, marketing, and/or related field, or equivalent education and experience.

  • 3-5 years in an administrative (or related) role.

  • Experience with CRMs and Microsoft 365 Apps (Word, Excel, Powerpoint, Sharepoint, Teams, etc)

 

Nice-to-have skills and abilities:

  • Experience in fundraising and marketing

  • Digital design skills, preferably using Canva, Affinity or Adobe Creative Suite

  • Video production and editing experience

  • Photography experience

  • Quickbooks experience

  • Experience working with or volunteering for a church or Christian Organization
